Span of Management

Also known as span of control, is a very important concept of organizing function of management. It refers to the number of subordinates that can be handled effectively by a superior in an organization. It signifies how the relations are planned between superior and subordinates in an organization.

Span of management is generally categorized under two heads- Narrow span and Wide span. Narrow Span of management means a single manager or supervisor oversees few subordinates. This gives rise to a tall organizational structure. While, a wide span of management means a single manager or supervisor oversees a large number of subordinates. This gives rise to a flat organizational structure. There is an inverse relation between the span of management and the number of hierarchical levels in an organization, i.e., narrow the span of management , greater the number of levels in an organization.

Narrow span of management is more costly compared to wide span of management as there are larger number of superiors/ managers and thus there is greater communication issues too between various management levels. The less geographically scattered the subordinates are, the better it is to have a wide span of management as it would be feasible for managers to be in touch with the subordinates and to explain them how to efficiently perform the tasks. In case of narrow span of management, there are comparatively more growth opportunities for a subordinate as the number of levels is more.

The more efficient and organized the managers are in performing their tasks, the better it is to have wide span of management for such organization. The less capable, motivated and confident the employees are, the better it is to have a narrow span of management so that the managers can spend time with them and supervise them well. The more standardized is the nature of tasks ,i.e., if same task can be performed using same inputs, the better it is to have a wide span of management as more number of subordinates can be supervised by a single superior. There is more flexibility, quick decision making, effective communication between top level and low level management, and improved customer interaction in case of wide span of management. Technological advancement such as mobile phones, mails, etc. makes it feasible for superiors to widen their span of management as there is more effective communication.

An optimal/ideal span of control according to the modern authors is fifteen to twenty subordinates per manager, while according to the traditional authors the ideal number is six subordinates per manager. But actually, an ideal span of control depends upon the nature of an organization, skills and capabilities of manager, the employees skills and abilities, the nature of job, the degree of interaction required between superior and subordinates.

Organizational Benefits of Pegboard

Many of us want to live a life that is organized but we may lack the skills or the necessary tools in order to do so properly. When it comes to organization, you do have many options that are open to you but it is difficult to beat the vertical storage that is available through peg boards. When you use peg boards, you will find that you are not only organized, you have a lot more room available on the horizontal surface of the home (the floor). Here are a few of the different benefits of pegboard and how it can help to organize your life.

When most people think about pegboards, they think about organizing the garage. It certainly is true that peg boards, when utilized properly, can help to keep your garage neat and organized. One of the more obvious ways that it can do so is by keeping all of your tools up and off of the floor. You also be able to use the pegboard for a wide variety of items that can be hung up and out-of-the-way. There are even pegboard shelves that are available which will allow you to store items, such as motor oil or cleaners.

Pegboard can also be used in a wide variety of areas inside of the home as well. For example, a craft room can easily benefit from a pegboard that is hung properly and contains the right types of hooks. Many people that craft regularly, such as scrapbooking and stamping, have a few larger items but they also have many smaller items that tend to get scattered about. Keeping those smaller items organized is going to help you to get more done and will certainly add to the enjoyment of your hobby.

You can also use peg boards in the classroom. This can also help to keep many smaller items up and out-of-the-way, such as craft items but it can be used for everyday items as well. Students can benefit from peg boards in the classroom environment and they can also benefit from the organization of the pegboard in their home environment. Imagine a pegboard behind your desk that will hold everything from a clock to scissors to sticky notes, so you don’t miss your appointments.

Obviously, peg boards have a function in many different areas of the home and even, at times, outside of the home. Hanging them in the right place is going to keep everything that you need accessible. Choosing the right pegboard hooks will also make a difference in the organization that is available. For example, you can get standard hooks that will hold smaller items or you can get hooks that include the trays, so that you can hold multiple items, such as screws or washers.

Where will you be able to use pegboard in your home? Get a little creative in choosing your locations. You will find that you are getting more done because of the organization that these unique items bring to the table.

4 Reasons The Study Of Organizational Behavior Is Imperative

The managers or entrepreneurs are the leaders who can shape the success of their organization. For a successful run, a leader needs to ensure that the business carries out its internal and core operations Organizational Behavior plays a vital role in any enterprise’s success. It outlines the system in which the company will run, where it’ll fit in the industry and it also decides the future of the company. It defines the vision, mission, and goals of the company and outlines a way in which the members of the company will interact with each other. Thus, every manager or entrepreneur should learn the core principles of Organizational Behavior for the success of the business. Here are a few more reasons that exemplify the significance of the study of organizational behavior:

1. It helps in understanding the mission of the enterprise

Every organization has its quintessence or its purpose of carrying out the intended operations. Organizational behavior aids the entrepreneurs in defining the task of the organization- what a company will do and how it’ll do it. It defines an infrastructure that will be followed by the company throughout its run. It also emphasizes on establishing a mission statement that the company wants to achieve through its operations. The mission is not only monetary but it speaks of the company’s culture and aims at bringing a change in the lives of the customers, stakeholders and all the people involved with the company. The mission statement tells everyone about the goals of the organization and can be used to gauge the effectiveness of its operations.

2. It aids in establishing clear expectations

The organizational behavior not only helps in establishing a mission, but it also helps the managers or entrepreneurs in setting expectations for the employees, stakeholders as well as the customers. It helps in formulating the chain of command performed by each employee and also decides the kinds of vendors and customers the company should expect.

3. It helps in better decision making

The organizational behavior paves way for uniformity in the company and its core values. The establishment of the uniform mission, actions and messages facilitate the managers to make better decisions that are fruitful for the company. Organizational Behavior entails an identity to the organization so the managers can make their decision aligning with the nature of operations of the organization.

4. It ensures that managers hire the right person

The employees are the main pillars of organizational behavior. The people that bring new ideas and passion to the organization are considered as the perfect employees for the organization. If the organizational behavior is clearly defined, the newly employed candidates can easily understand their duties and it also makes easy for the managers to hire the right people and communicate with them effectively.

International Taekwondo Organizations

During the past years taekwondo has become a very popular sport. All kinds of competitions and tournaments have emerged from a local to a global level. It has also recently become an Olympic sport, leading to a hierarchy among international taekwondo organizations.

By far the most popular one is WTF (World Taekwondo Federation). Founded in 1973 the South Korea based organization is the top authority in Olympic taekwondo as member of International Olympic Committee. The organization has a long history of more than 30 years and is comprised of members from 182 National Associations from five world regions: Asian (ATU), European (ETU), Pan American (PATU), African (AFU) and Oceanian (OTU)

Also a big player in the field of taekwondo is ITF (International Taekwondo Federation). Founded in 1966, ITF main proposes are to manage the tournaments and seminars, set the standards of teaching and helps to ensure the correct certification and ranking. At the base of their values and knowledge stand the most important books about taekwondo art and practice: “The Encyclopedia of Taekwon-Do” in 15 volumes and “The Korean Art of Self Defense” also known as the Condensed Encyclopedia, both written by General Choi Hong Hi.

The American Taekwondo Association (ATA) was founded in Omaha, Nebraska, U.S. by Haeng Ung Lee, in 1969. Together with Songahm Taekwondo Federation and World Traditional Taekwondo Union they comprise one of the largest taekwondo organizations in the world, summing up to more than 350000 members. ATA is popular for practicing sogham Taekwondo in their affiliated schools. Sogham means “pine tree and rock” and compares the student learning taekwondo with the growth of a pine tree.

WTF is the most important of all the taekwondo organizations due to its Olympic status. During the past years the way it functions has become more democratic, having evolved into a structure capable of balancing international expectations. I think that WTF is currently on the right track and will continue to be as long as it keeps its Olympic status. After general Choi’s death ITF split into three organizations: ITF Vienna, ITF North Koreea and ITF Canada, all claiming to be “the real” ITF. This however had a detrimental impact on ITF’s international prestige affecting its image. Easily noticeable from its title, ATA is a predominantly American organization. This situation stops it from obtaining true international recognition.

It is my opinion that taekwondo will always have many different styles and will be represented by a large number of organizations. I base this assumption by the way this kind of affairs are influenced by economics, national policies and the individual opinions of influential people.

Role of Top Management in Organization

Management is the act of getting things done, simply through people, to achieve desired goals and certain objectives. Implementation of any successful strategy in an organization depends upon how much the Top Management is committed to the success of organization. And this role would be evident through out the implementation process. Management is a continual process of planning, organizing, leading and controlling an organization.

All the employees that constitute top management should exhibit such enduring characteristics that influence their commitment towards achieving the vision of new strategies. Managers are the people that supervise the human resources to achieve the organizational targets but the efficient managers need to be opinion leaders to motivate their employees in a right direction. Managers should perform maverick leadership that creates cohesiveness among employees rather than slotting in all the employees and fixing tasks that bound them to work only. They should encourage employees to generate ideas that mostly managers do not do. These personal traits can be distinguished further on roots like how they plan, organize, lead and control the organization?

Planning:

Objectives are the goals that management wants to achieve and Planning is the process to accomplish these objectives. It is a road map of improvement. Planning should be realistic based and framework within which a new strategy will be implemented. But it is evident that mostly Top Management considers planning as the starting point only not as the integral part of managing necessary tasks. Top management assigns the planning process to planning department yet it plays a vital role in recognizing the hidden opportunities and clear understanding of goals, market and competition.

Organizing:

Organizing is the act of arranging certain elements following some rules. The entire role of organizing is to achieve the overall completion of organization’s objectives. It is obligatory to organize all kind of resources including men, material, money and machine to make the optimum use in achieving certain specialization. This specialization can be achieved through employing different tasks to specific people who are specialists in that area. Top management’s ability to organize all resources well helps in expanding business.

Controlling:

Controlling is one of the foremost managerial functions like planning and organizing but it is continuous, and can be entrenched at any of hierarchy. It is very important for the Top Management to check the errors, own mistakes and then take the corrective action so that deviation from standards should be visualized clearly and declared purposes will be attained in a preferred mode.

These are the hallmarks that should be bookmarked by top management to review its performance in organization and re-train the managers if their skills are deemed inappropriate.

Image File Organization – Best Practices for an Effective Product Information Management System

Consistency, Consistency, Consistency!

Publication software, web design software, and catalog software all strive to develop one key thing above all, consistency. Consistency is the key to developing a clear, scalable, and streamlined content management system. Product information management systems are no different. The best catalog software is powerful enough to promote a consistent layout throughout the catalog but powerful enough to not hinder the stylistic decisions of the content developers.

Consistency in the end product is a key element in good catalog design, and that is well known. However, good Product Information Management (PIM) systems also promote consistency in file and folder naming as well to effectively manage external documents. In this article, we will discuss a methodology to manage images with the same consistent organization as your SKU numbering. Finding images can be a challenge without a proper naming convention. These recommendations will help you quickly find and manage your images so that you can more effectively utilize your catalog software.

Image formats – Pick It and Stick with It:

There are plenty of image formats out there. A few of the most common ones that catalog software can handle include: jpg, png, tif, and gif. They each have slight variations in their features. For example, tif supports image layering which makes it easier edit the image, and it tends to be easier to manage transparency layers with gif and png files. That said, most often their differences are a moot point.

More useful than picking the optimal format for each image is maintaining image consistency. This saves a considerable amount of time and ensures that your catalog viewers get a consistent experience. This also helps you manage and browse your files within your catalog software.

If you do not already have best practices guidelines for image formats, feel free to use the following setup:

  • Print Images – Use.tif
  • Web Images – Use.jpg
  • Web Image Thumbnails – Use.jpg; a tag such as ‘-thumb’ should also be included to identify that the image is a thumbnail

Be sure to check with your catalog software provider for formats best suited for your catalog software. Also, it is worth checking what optimizations and automations are available from your catalog software such as automatic web thumbnail creation or automatic conversion of print images to web images.

Use Names to Build Bridges

The success of the SKU, or stock-keeping unit, methodology for uniquely and systematically organizing and numerically identifying products has become so ubiquitous that it has become an afterthought. If you are managing any reasonable quantity of products in your print catalog you should already be using SKUs to manage your products and expect your catalog software to do the same.

This same powerful numerical system should be used to help you manage your images in your print catalog software. You can do this by naming your image files with their SKU number. For example, if you sell a Bigfoot costume with the SKU 01234. Then you should label your image ‘01234.jpg’ or ‘01234.tif’ (or whatever image format you decide to use with your print catalog software). You could, optionally, put a little description in the label e.g., ‘01234-bigfootcostume.jpg’ but as long as you have an SKU number, you should be able to easily identify which images go with which products quickly and easily when building your print catalogs in your chosen print catalog software.

Categorize with Directories

Having a logical, systematic, and sparing system of organizing your product information is a good habit to have from the start that pays of in the long run. As your print catalog becomes more and more massive, it takes more and more time to sort through the plethora of documents and images related to each product. For images, the goal is to find a balance between disarray and obsessive categorization that requires takes too long to maintenance.

I have worked on developing catalogs in the past where the images were all dumped into a single directory. Although the print catalog software allowed me to browse through the picture thumbnails, the pictures were not organized by categories. I could have built these print catalog pages a lot more quickly if the images were categorized in an easy to locate fashion.

That said the other end, the other end of the spectrum would be much worse. Firstly, it would take a significant amount of time to sort the images into an over-extensive directory tree. Secondly, clicking through the directory structure can also take a small amount of time that adds up as more pages are made. Like print catalog software, categorization systems should save you time when you build your print catalog, not fill it up with administrative or technical overhead.

A happy balance would be somewhere in between. We recommend the following:

Under one master directory for images have a couple of directories by top level categories. This keeps images organized and avoids too many directories. Try not to create multiple levels of sub-categories. Images are easy to find by thumbnails and even easier if you use the SKU system mentioned previously. Searching through directories too many levels deep can waste time, so try not creating too many levels of directories.

All That Other Jazz

Products are not the only image in your print catalog and your print catalog software needs to manage other features such as vendor logos, swatches, standards and trade logos, etc. Some print catalog software has specific ways in which they want these files to be handled and you should consult your provider for more information. However, in almost every case, it is generally good practice to give it an explicitly descriptive name keep the files in a separate directory from your print catalog products.

In the end of the day, your goal is to get an efficient Product Information Management (PIM) system that helps you build your catalog quickly and intuitively. Having an image categorization system that helps you quickly manage and link your images in your print catalog software is a crucial part of developing a dynamic and scalable PIM system. The above guidelines should set you well on your way towards this goal. That said, we also recommend that you check with your individual print catalog software provider to see what standards and recommendations they have to help you optimize your image formats and organizations with your print catalog software.

Solving Organizational Problems Once and For All: Play Pitch and Catch!

One of the primary functions of management and leadership is to solve organizational problems. An organizational problem occurs whenever the work practices and processes of those tasked with producing specific results do not actually produce those results. How can a manager solve such problems in an efficient and effective manner so that your organization remains on track for profitability and success?

The word “problem” literally means “to throw.” A baseball pitcher finds it impossible to hold onto the ball and pitch it at the same time. In other words, to solve a problem you must not hold onto it but rather “throw it” out for discussion to get other perspectives and ideas regarding its causes and consequences. When you do this, you begin to see the “bigger picture” because you can view the problem from a distance. More importantly, you “throw” the problem into your organization’s collective pool of experience and wisdom whose depth will provide the most appropriate solution(s) in a timely manner.

Based on this understanding of “problem,” it becomes clear that a manager’s job is not to solve problems all by him/herself; rather, it is to nurture the process of collective problem solving among the work force making sure that everyone is both a pitcher and a catcher. Everyone is trained and encouraged to throw problems they see into the collective talent pool; at the same time, everyone is equipped with a “glove” to catch the problems thrown by others in the organization.

It must be said that this is not as easy as it sounds. We’ve been trained over many years that talking with others about our problems is in bad taste. Nobody wants to hear about your problems, we’ve been told. Besides, everybody has enough of their own problems to be concerned about yours. And so we keep it to ourselves and think that we must solve it ourselves without bothering anyone else. Author Paul Strauss says: “Collaboration is the least of our skills. We don’t like to share. Society stresses individual competition so working together is unnatural to us.” When everyone in an organization keeps problems to themselves the problems soon take on a life of their own and grow much bigger and have a greater negative impact than they actually should warrant.

Learn how to play “pitch and catch” with problems in your organization and you’ll soon see a big difference in the number of problems you’re faced with. The number will go down and you’ll find that you actually enjoy your work more.

Point #1: A problem shared is a burden divided. This helps the organization move toward the most appropriate solution in the least amount of time.

How do you create an organizational culture in which problems are willingly thrown and caught? The easiest and most cost-effective method for creating such a culture is for management to continually encourage problem sharing and solving behavior. You’ve heard it said that everything in an organization “starts at the top,” or “rolls downhill.” Presuming that leadership is positioned at the top of the organizational chart, this is true. However, in an organization that is defined by a structure the foundation of which is formed by its leadership, everything grows from the “bottom up.” Just as crops are nurtured by proper nutrients in the soil and adequate amounts of sun and moisture, so, too, organizational cultures are nurtured by proper sources of growth from the soil of management leadership. In both cases, if the necessary ingredients for growth are not present in a sustained and sufficient manner, the result will be a meager harvest

— and eventual death.

One of the proper sources for optimal organizational growth is continual management/ownership encouragement of collective problem sharing and solving behaviors throughout the workforce. This is an essential ingredient for success. If you’re having difficulties dealing with problems in your business, ask yourself: “Am I regularly encouraging my employees to play “pitch and catch” with the problems we seem to always be having?” If your answer is “No,” then you’ll know what to do next: at your next meeting with employees, raise the issue of problem solving and tell them you’d like for them to play more at work — play more “pitch and catch” with the problems they see in the organization. But you have to be part of the team, too. Owners and managers are not the referees in this game of problem solving: they are player/coaches. Everybody throws and everybody catches — those are the rules of the game.

Point #2: A problem unshared is a problem unsolved; a problem unsolved is a growing problem. This is not the kind of “growth” you want in your organization. Grow joy instead.

When you find a collective solution, then it’s time to share the joy. To paraphrase the words of Jesus in the New Testament: “There is more joy in the organization at the solving of a single problem than over the multitude of things that go right everyday.” When the employees of an organization know what the problem is because of playing “pitch and catch,” they have a mutual interest in solving it and in celebrating the solution. Don’t forget to celebrate the team victory over the problem and to keep track of the successes the solution produces over a period of time. Keeping the players informed as to on-going successes keeps them emotionally rewarded for having made the best choice and done the “right” thing; it also provides paced motivation for employees to continue to play “pitch and catch:” they can see that this sort of “play” really works.

Point #3: A problem solved is a joy multiplied. Anytime you can foster joy in your organization, you will prosper in terms of both employee and customer loyalty. An excellent way to create and sustain joy is by solving a problem together and tracking the results of the solution.

The organization that plays this game of “pitch and catch” together stays and grows together!

Why Deploy Neem Accredited Trainees In Your Organization?

India is one among the fastest developing countries having a lot of manpower resources but it is not being properly utilized. Industries and service sectors looking for employees with good communication skills, team work and collaboration, research scholars should equip themselves to meet the demand.

National Employability Enhancement Mission of the Ministry of HRD is the india’s largest employability scheme in India. Actually, unemployment is the big problem in India. The main reason of unemployment is lack of skill in the educated youths. So various agencies now started to convert the unskilled manpower of India to a skilful workforce.

If a person working regular hours and producing goods or services, for two years, and yet not getting classified as workman. This is called Exploitation. Then what companies have to do? The employers prefer to hire and promote those persons who are expandable, resourceful, ethical and self directed with good soft skills and hard skills. In today’s world, where the survival of the fittest is the norm, it has become imperative to sharpen one’s technical skills, and more importantly, one’s soft skills. Technical skills can be learnt, applied and measured to an established degree.

So the NEEM Agents are required to formulate a Training Scheme and thereafter, can deploy the Trainees at the Registered Companies. Under NETAP (National Employability Through Apprenticeship Program) the apprentices are given full opportunity to learn in organization. This is a very effective program for the apprentices. Through this program apprentices gets the talent to overcome the upcoming challenges in an Industry.

Quality Hiring is getting tougher and tougher. Hiring of interns depends upon the company size. In our present time even work experiences are not enough, for the access and escalation in the corporate world.

Before hiring a candidate you need some facts to know about them. Hiring for startups is tricky enough. The Companies, who would like to avail the benefit of the Scheme, can engage NEEM Agents and deploy the Trainees in the Establishments in accordance with the Scheme.

The companies can hire the trained youths because they can be valuable hands on deck. They can help explore peripheries of technology that you’d love to prototype but can’t afford to. The trainees can become valuable full-time employees later. The best part about hiring interns is that you can judge a candidate’s skills before a full time hire. You can also know about his / her skills, attitude and test him / her out. Because sometimes people regret after hiring someone.

The companies can easily get a lot more by hiring a skilled interns, the more the better.

The trained inters can help you in researching and looking into things that you hadn’t had a chance to, or reviewing things and spotting items that you had missed.

Hiring interns can help you get enthusiastic individuals that helps to build your team in a more cost effective manner. Although they may lack of expertise and real world experience. But don’t hire everyone permanently in start ups. Hire on the contract basis for some limited time period. When they prove themselves as skilled and useful for the company. Then they can be done permanent.

Various industrial sectors including Automobile, Auto Comp, Chemicals, Pharmaceuticals, Electronics, Construction, Hospitality, IT/ ITeS etc. can give opportunity to the trainees. The company has something meaningful for the intern to work on, and can provide structure around that meaningful work. The company has people with the time to train, coach, mentor, and talk with the intern. The company is willing to give the intern feedback.

Fundraising with Pixel Advertising Raises Money and Awareness for Nonprofit Organizations

Pixel advertising is a form of internet advertising that is increasing in popularity. Publicity surrounding a pixel advertising website created by a British college student who needed to raise money to pay for his education has created great interest in this type of advertising.

The website, called the milliondollarhomepage.com, has earned its creator, Alex Tew, hundreds of thousands of dollars since he launched it in August, 2005. Tew’s website homepage is a grid that is divided into one million pixel blocks. The pixels are sold to advertisers in blocks of 100 pixels, each measuring 10 x 10 pixels. Each pixel block becomes part of a colorful mosaic of advertising on the website. At $1.00 a pixel, when the page is sold out,Tew will have raised one million dollars for his education with this creative advertising technique.

Could your nonprofit organization, club, or group raise one million dollars by selling micro advertising pixel blocks? It is possible. Anyone can set up a pixel advertising website and The Million Dollar Homepage has inspired many businesses and organizations to create their own pixel advertising campaigns. Your organization may already be selling advertising space in your programs or other printed materials. Selling pixel advertising is just like selling any other form of advertising except that the advertisement appears on the world wide web for as long as you keep your website up. The potential of millions of people seeing their advertisement, for a year or longer, is a great selling point to advertisers and donors.

What do you need to get started with pixel advertising fundraising? If your organization already has a website you can set up pixel advertising on a page of your existing site. Or, you can buy a new domain name and set up a website solely for your

pixel fundraising. You will need a web hosting account for your site and a pixel advertising software program. You can buy a software program online and install it yourself or have it professionally installed. Your organization will also need to set up an online payment processor, such as PayPal. When your website is set up you will need a person in your organization to administer and monitor the program. You’ll be able to sell all the advertising online through the software program as well as process the payments online.

Does trying to raise one million dollars sound a bit unrealistic for your organization? When you set up your software program you will be able to set your own selling price for the pixels. So, your organization must decide how much money you need to raise and what the theme of your advertising website will be. If you want to raise fifty thousand dollars, then you would sell your pixels for five cents a pixel. This would make a one hundred pixel block cost only five dollars. You can also change the minimum number of required ad block purchases. If your minimum required ad blocks are one thousand, then your minimum ad block would cost a very reasonable fifty dollars per ad space. You would also only have to sell one thousand ad spaces in order to earn fifty thousand dollars. Even if you sold your pixels for a penny a pixel, you could still earn ten thousand dollars from one pixel ad page.

How can nonprofit organizations use pixel advertising? You could sell pixels and donate the money to a charitable organization such as The American Red Cross. Or, set up a pixel page to raise money for a specific project such as building a playground, or a spring school class trip. Pixels don’t have to be sold to only businesses. A school group could sell pixels to alumni or parents of a graduating class. A graduating class could set up a pixel page and raise money for their graduation night party.

The possibilities for fundraising with pixel advertising are limitless. A well-designed and promoted pixel advertising campaign has the potential to raise money and awareness for your organization. This form of advertising fundraising is well worth considering as a part of your organization’s fundraising strategy.
